Every event follows the same lifecycle, from the moment it is created through to the attendance figures reported afterwards.
An administrator sets up the event with its dates, venue, capacity and any sessions or groups that guests can be allocated to. Where a fee applies, the pricing is configured at this point.
A guest list is built for the event and personalised invitations are sent by email. Each invitation carries a unique, secure link to that guest's RSVP page.
Guests accept or decline online without needing a login. On acceptance they confirm their details, select a session where applicable, provide any dietary or medical requirements and accept the event indemnity. Where the event carries a fee, payment is completed at this step and confirmed back to the system.
Confirmed guests receive their event documentation, including a QR code used for check-in on the day. Reminder and update emails can be sent to the guest list at any point before the event.
Access control staff scan each guest's QR code at arrival and at session level where required. Check-in is recorded live, so the guest list on screen always reflects who is actually on site.
After the event, attendance history and summary reports show who was invited, who accepted, who attended and how attendance has tracked over time. Financial reporting covers events where payment was taken.
